New user onboarding process for {ORG_NAME} Google Workspace


Timeline

  • Day 0: Account created, credentials provided
  • Day 1: Welcome email, documentation sent
  • Day 2: Training session
  • Day 3: Full access granted, support begins
  • Week 1: Check-in with new user
  • Week 2: Feedback collection

Day 0: Account Creation

Admin Steps

  1. Create user account in Google Workspace

    gam create user newuser@{DOMAIN} firstname NewUser lastname Name password TempPassword123!
    

  2. Add to required groups

    gam update group allstaff@{DOMAIN} add member newuser@{DOMAIN}
    gam update group department-specific@{DOMAIN} add member newuser@{DOMAIN}
    

  3. Grant Shared Drive access

  4. Add to appropriate security groups
  5. Verify drive access

Send to New User

Email template: templates/onboarding-welcome.html

Include: - Email address: newuser@{DOMAIN} - Temporary password - Link to Quick Start guide - Link to training schedule - Support contact information


Day 1: Preparation

New User Steps

  1. Log in for first time
  2. Go to mail.google.com
  3. Enter email and temporary password
  4. Set permanent password

  5. Complete profile

  6. Go to myaccount.google.com
  7. Add profile picture
  8. Add recovery email
  9. Add recovery phone

  10. Enable 2FA

  11. Go to Security settings
  12. Set up two-factor authentication
  13. Save backup codes

  14. Explore Workspace

  15. Check Gmail
  16. Access Google Drive
  17. Check calendar
  18. Try creating a document

Admin Steps

  • Monitor account creation

Q: Where do I find my emails?

A: Go to mail.google.com and log in with your {ORG_NAME} email.

A: Go to drive.google.com → "Shared drives" → Find your team's drive.
